HR Process Classification Framework

A common language is always important when we talk about processes. When you start mapping the processes, it is critical to get an enterprise level alignment on process classification model to avoid re-work in the future . In the below approach, let's say Level 0 classification in your organistion is function or department i.e. every function (HR or Finance or IT) will have process classification starting from the function level. In this blog, i will cover 5 levels of process classification model within each function and will also cover the meaning and purpose of SOP or Standard Operating Procedures. To ensure every tasks is covered within the framework, HR function should start mapping the process classification framework (PCF) from Level 1 onwards.  HR Process Framework

Above is a simple Process classification framework to use when classifying and understanding HR processes.  APQC and Hackett Group have delivered process classification framework that you may use. Let's try to understand each of the level in the framework in a bit more detail
  • Level 0 - Function  e.g. HR, Finance
  • Level 1 – Categorythis is high level grouping for HR strategy, planning, employee life cycle, service delivery
  • Level 2 – Process Groupis a logical grouping of processes e.g. Joining the workforce, Rewarding
  • Level 3 – Processese.g. Recruitment, on-boarding
  • Level 4 – Sub Processes or Activitiese.g. Job posting, Personal data management
  • Level 5 – Taskse.g. Posting a job to career site, etc.
  • Level 6/7 - Standard Operating Procedures or Work instructions
If you are trying to achieve operational excellence, you must have some sort of PCF in place. Start from an existing classification framework if you don’t have one in your organisation. Below is a framework that may be used to classify HR processes.  Level 5 tasks are usually organisation specific and it makes sense to map this for your organisation to get a better view of the roles and responsibilities. After level 5, work instruction part come into picture (you may call it Level 6 or 7 tasks), i recommend to capture these within the standard operating procudures or system guides as these information would be more applicable to those executing the tasks.
